Now more than ever, you need a clean database.
Are there a few dust bunnies lurking in your constituent data? Maybe there are more duplicates than you’d like to admit, or too many addresses that are out of date? Have you ever printed more pieces for a mailing than you needed because your merge-purge deflated your lists?
It’s time for a Clean Sweep.
Our experts can help identify the issues that lead to duplicates and help solve the problem at the source. By the end of the project, you’ll have:
Accurate insights
You can’t accurately assess trends with dirty data. And too many duplicates means you can’t get a true sense of your audience.
Improved deliverability
Test short description
Clean email lists lead to better deliverability. And make sure your snail-mail lists are NCOA-updated and beautifully accurate before they go to the mailhouse.
Happier VIPs
Make sure staff recognize VIPs instantly, and avoid duplicate-related issues with fulfilling member or subscriber benefits online.
Cleaner campaign execution
Make sure that your targeted campaigns reach the right people. You don’t want to send a come-back promotion to someone who isn’t really a first-time buyer, or ask a major donor for a small contribution.
Mailings that count
No one likes getting multiple mailings. Make sure that doesn’t happen to your recipients.
True CRM
You’re not really doing customer relationship management if you have too many duplicate accounts. Get more consistent 360-degree views of all patron activity.
What does a Clean Sweep project involve?
Over approximately 12 weeks, you’ll work with Tessitura’s expert consultants to clean up your constituent data and set yourself up for continued sparkling success.
Phase 1
We’ll begin with a review of the project phases, and an optional training on the standard merge process, to ensure your organization has a strong foundation. Plan to spend 2–4 hours on this phase.
Phase 2
Your expert Tessitura consultants will run your data through address standardization and validation, as well as NCOA (National Change of Address). An initial data load will apply these updates to your database. This phase is mostly done by Tessitura consultants and will include minimal follow-up contact from your team, who will be focused on reviewing updated addresses.
Phase 3
During two workshops we will review, in detail, the behavior of constituent data during the merge process, including options for your organization and recommendations to support your business practices. Plan to spend 4–6 hours on this phase.
Phase 4
Tessitura experts will match and merge individual records. Your team will be expected to review and approve the matched and merged pairs. Depending on the size of your dataset, plan to set aside 4–8 hours for this phase.
Phase 5
Building in the work done in Phase 4, our consultants will match and merge household records. Your team will review and approve the matched and merged pairs. Depending on the size of your dataset, plan to set aside 4–8 hours for this phase.
Phase 6
Finally: squeaky clean data! After the merges have processed, we will review any additional recommendations for ensuring your organization’s data stays squeaky clean, and will put in place a regularly scheduled automated merge based on the work done in Phases 4 and 5.
Pricing starts at $12,000 US. Specific project proposals are customized for each organization’s individual needs and can be designed to accommodate organizations of all genres and budget sizes.
